Redact a document before you share it
Clean sensitive data out of a PDF before you send it or upload it to an AI tool.
You open a PDF, see exactly what sensitive data it contains, and produce a clean copy before you share the file. The original stays untouched; the clean copy is a separate file in which the removed text is genuinely gone from the document, covered with a black box.

Open Redact
Pick Document Redaction in the menu. That opens the Redact screen.
There is no Document Redaction in my menu
Document redaction is a module that is switched on per organisation. If the menu item is missing, the module is not switched on for your organisation; check with your admin.
Pick a PDF
Click Choose PDF… or drag a PDF onto the screen. BeeSensible loads the document and detects sensitive data: names, account numbers, addresses, phone numbers.
Review the selection
Everything that was found starts ticked and will be removed. The panel on the right groups the findings by data type, with a search field and buttons to select or deselect everything at once. Click a highlight on the page, or a row in the panel, to keep something in.
Did detection miss something? Three ways to step in yourself:
- Draw box: drag a rectangle over what has to go. A box can also repeat in the same spot on every page, useful for a logo in the header.
- Click a word on the page and choose Just this one or Everywhere in document.
- Type a word into Mask a term (no mouse needed); every occurrence gets masked.
Check the preview
Preview shows what the clean copy will look like, before anything is final.
Anonymise and download
Click Anonymise; the button shows how many items will be removed. The clean copy downloads as name.anonymized.pdf.
In the desktop app and the extension
The same review screen lives in two other places:
- Desktop app, on the Documents tab. You pick where the clean copy is saved, and the Insights tab shows your own numbers; those stay on your device. If your organisation uses on-device detection, the document never leaves your machine, and the bar above the document shows On-device.
- Extension, on the Documents tab in the sidebar. Drag a PDF into the sidebar while you are in a chat or email. After the review, the clean copy appears as a card with a button such as Add to chat to drop the file straight into your message; downloading works too. Files up to 25 MB.
Which profile applies
A document profile decides which data types get detected. Your admin sets the default and it applies automatically. In the dashboard and the desktop app you can pick another available profile from the bar above the document, for example a stricter one before a file goes out the door; detection then runs again, for that document only. The extension always uses the organisation default.
Supported files
PDF files only. On a scanned PDF without a text layer, automatic detection finds nothing; the screen tells you so, and drawing boxes by hand still works.
The desktop app says automatic detection is unavailable
The local detection engine is not running at that moment. If your organisation uses on-device detection, the document cannot be redacted right now; the file is deliberately not sent to the cloud instead. Restart the app or the machine and try again.
Where your document is processed
Through the dashboard and the extension, the document is sent to BeeSensible's servers inside the EU, processed in working memory, and discarded straight after. Nothing is stored. Through the desktop app with on-device detection, the document stays entirely on your own machine.
