Inbox: triage newly discovered tools
New AI tools your team starts using land here to allow, limit, disallow, or decide on later.
When BeeSensible sees an AI tool in your organisation that has no decision yet, it lands in the Inbox the moment it is first seen. That is how the catalog stays current without you hunting for new tools yourself. The counter on Inbox in the menu shows how many tools are waiting.
Policy is default-deny: every tool starts at No decision yet and stays there until your organisation chooses. Nothing here is ever approved or blocked on your behalf; the risk band is advice, the decision is yours.

Each row is a newly seen tool with its name and domain, its visit count, its risk band, and the four decision buttons. Click the row to open the full analysis, the same view as in the Catalog, with the risk breakdown, incidents, and alternatives.
Working through the inbox
Pick the period
The Inbox follows the date picker: newly discovered means first seen in your organisation in this period, with no decision yet. Widen the period to see older discoveries too.
Decide per tool
Each row has four buttons:
| Button | What happens |
|---|---|
| Allow | The tool gets the Allowed status and is covered by your policy from then on. |
| Limited | You first write the condition employees will see; the tool then gets the Limited use status. |
| Disallow | The tool gets the Not allowed status; anyone opening it sees a note with your allowed alternatives. |
| Decide later | Takes the tool out of your inbox without recording a decision; the status stays No decision yet. |
Or handle several tools at once
Tick tools (shift-click selects a range) and pick one of the same four buttons in the bar that appears at the bottom.
A tool that was here yesterday is gone
The Inbox only shows tools first seen in the chosen period that still have no decision. Check whether the period has shifted, and whether someone else has since given the tool a status in the catalog; that removes it from the inbox too.
Allowing or disallowing a tool here is the same decision as in the catalog; the Inbox just brings the new ones to you. New AI tools tend to appear in waves after a launch or a news cycle; the Inbox turns that noise into a short, workable list, so nothing your team adopts stays invisible for long.
