Notices for AI tools
What people see when they open an AI tool you have made a decision about, what you can set and what is counted.
When an employee opens an AI tool in the browser that your organisation has made a decision about, BeeSensible shows that decision in a notice. Under Policy > Notices you choose, for each status, whether people see that notice. A notice does not stop the employee: they read what the organisation has decided and then carry on. Only for the Not allowed status can your organisation choose that the employee cannot continue after the notice.
Notices in the dashboardOn or off per status, and for Not allowed the choice of what happens after the notice. What the employee sees for each status
| Status | What the employee sees |
|---|---|
| Not allowed | A notice with an allowed alternative and "Hold to continue anyway", or, if you choose, only the alternative and Go back. |
| Limited use | The same notice, with the condition you set for the tool. |
| No decision yet | A low-key notice asking people to enter only public information. This notice is off by default. |
| Allowed | No notice. |
The notice appears in the browser, with the BeeSensible logo, so the employee can see where it comes from. The desktop app shows no notices.
What happens after the notice for Not allowed
Under After the notice, you choose what an employee can do once they have seen the notice for a tool that is not allowed:
- Employee can continue: anyone who holds down the "Hold to continue anyway" button can use the tool.
- Employee cannot continue: the notice only shows the alternative and the Go back button.
The alternative
The notice opens with "Use instead" and a button that opens the allowed alternative. Below it, "Also allowed:" lists the other tools the employee may use. You set the alternative for each tool on that tool's Policy tab in the AI register, as described in Policy per tool. It can also be one of your own tools that you added to the catalogue, such as an internal environment called "Working safely with AI".
If you only allow the business version of a tool and BeeSensible cannot identify the employee's account as a business account, the notice says "Only with your business account".
What gets counted
BeeSensible counts every notice shown, together with what happened next: shown, alternative opened or continued anyway. It does this without a name or user ID, in the browser only and at most once per tool per day. This shows you how the notices work out in practice, without looking at individual employees. The counts appear in two places:
- Compliance, under Notices about tools.
- Accountability, under "Supporting staff": AI notices shown and Alternative opened.
Someone does not see a notice
First check the tool's status. Allowed has no notice, and for No decision yet the notice is off by default. Then check under Policy > Notices whether the notice for that status is on. If the employee is working in the desktop app, they will not see a notice, because notices only appear in the browser.
