Quick start for admins
How to set up a new organisation and get a first group working with BeeSensible, from the wizard to a first decision, profile and document.
This article explains how to set up a new organisation and get a first group of employees working with BeeSensible. Open the dashboard next to this page and sign in with the account you used to create the organisation. Home keeps track of the steps you have completed, so you can pick up later where you left off.
Complete the setup wizard
A new organisation starts with the Set up your organisation wizard. In it you choose a name and the modules you want to use (Real-time privacy, Document redaction and AI, at least one). You also indicate whether AI coaching and team insights are on, and whether you want to invite team members straight away. During the 14-day trial every module is on.
Coaching only switches on once you allow at least one AI tool, because BeeSensible never allows anything on your organisation's behalf. Everything you choose in the wizard can be changed later under Organisation.
On Home, choose how BeeSensible reaches your devices
After the wizard you land on Home. The Get started block asks How does BeeSensible reach your devices? and offers With Intune, With Group Policy and Everyone installs it themselves. Home then shows the steps that belong to that route. You can change your answer later.
With a managed rollout, the extension installs itself and employees sign in with their work account. The console under Organisation > Central rollout provides the scripts, policy values and downloads you need for this, and Managed rollout describes every step.
Once you have finished rolling out, you can remove the block with Hide the setup steps. If you want it back later, you can restore it under Organisation > Central rollout.
Invite a pilot group
On Home, click Invite teammates under Invite your team, or open Organisation and choose Invite members. Paste the addresses into the dialog, choose the Member role and send the invitations. It helps to start with a team that handles a lot of sensitive data, because their experience teaches you the most before you roll out more widely. Inviting your team has the details.
Have the team install and sign in
The invitation email contains the store links for Chrome and Edge. Your colleagues then sign in with Google, Microsoft, their work account or a sign-in link they receive by email.
Someone is still on Pending
Choose Actions > Send install reminder in the members list. You can do this once every 24 hours per member. If the email does not arrive at all, ask your IT department to let mail from BeeSensible through.
Make a first decision about an AI tool
On Home, click Open the Inbox. It lists the AI tools that were used in the last 30 days and that have no decision yet. Every tool starts without a decision, and for each tool you choose Allow, Allow with limits, Disallow or Decide later.
Allowing a tool means registering it, which puts it in the AI register. You can see straight away which tools have been observed. Usage figures only appear once your organisation has five active users. See also Inbox: tools without a decision.
Create a detection profile
A detection profile sets what BeeSensible treats as sensitive and how strictly. For each data type you set the level to Critical (red), Standard (yellow) or off. Anything you do not create a profile for follows the BeeSensible default. If detection should work differently for specific apps or for documents, click Create a profile on Home. What the extension does when someone pastes text, attaches a file or sends a message is a separate setting under Policy > Masking.
Anonymise a first document
Click Anonymise a document on Home, or open Documents in the menu. Choose a file, review what detection found and download the anonymised copy, which comes back in the same format as the original. See Anonymising documents.
After the first week
After the first week you can review in the dashboard how usage is going, provided your organisation has at least five active users. Insights > Usage shows how many people use AI, in which tools and for what. Insights > Sensitive data shows which highlights there were and what employees did with them before sending. You can use these figures to adjust your profiles and decisions before you roll BeeSensible out to the rest of the organisation.
