Compliance: what deviates from the decisions
Insights > Compliance: policy compliance, visits to disallowed tools, tools in use without a decision and what happened after a notice.
Insights > Compliance sets AI use against the decisions you have made. You see what share of use goes through allowed tools, which tools are used without your having allowed them, and what employees did after they saw a notice. The screen is meant mainly for the data protection officer (DPO) and the CISO. Here too you see counts only, with no user ID and no content.
Compliance in the dashboardUnder Insights in the menu, with the same period and tool filters as Usage. The period, department and tool filter work in the same way as on Usage.
The three figures
- Policy compliance is the share of AI use that goes through allowed tools, with the change in percentage points from the previous period.
- Visits to disallowed tools counts how often someone visited a tool you have not allowed. The total is shown next to it, for example "of 1,240 AI visits this period".
- In use without a decision is the number of tools in use that are still waiting for a decision.
If you allowed only the business version of a tool, visits to a domain that both versions share are not counted when the account cannot be identified as a business one. The figure shows how many visits this affects.
Used, not allowed
This card lists every tool used in the chosen period without your having allowed it. The tools are in two groups: Not allowed and No decision yet. The second group has a Go to the Inbox button, so that you can decide about those tools straight away.
| Column | What it is |
|---|---|
| Share of all AI visits | The share of all AI visits that went to this tool |
| Visits | The number of visits |
| Installs this month | Browser extensions that used the tool this month; below five it shows "fewer than 5" |
| Chose alternative | The share of notices after which the person opened the alternative, or "no notice" |
Click a row to open the tool page. There you change the decision and, under Designated alternative, choose the tool the notice points to. If no tool was used without permission in the period, the card says so.
Notices about tools
This card shows what happens after employees see a notice in the browser. For each type of notice (for a tool with no decision, a tool with limited use or a disallowed tool) you see how often the notice appeared and what the employee did next: alternative opened or continued anyway. For a disallowed tool, the card counts separately how many people held down the button to continue ("held through") and how many clicked through. The figures concern opening the tool, not what anyone then typed into it.
What the card does and does not count
The card counts only use in the browser, because the desktop app shows no notices, and at most one notice per tool per day. If no notice was shown in the period, the card does not appear. If you have chosen a tool filter, the card still counts across all tools, and it says so.
You set which decisions trigger a notice, and whether an employee can continue after it, under Policy > Notices. If you choose Employee cannot continue there, that is your organisation's decision; BeeSensible does not block anything of its own accord.
Departments
When Department insights is on (under Organisation > Settings), the Departments card shows for each department how many disallowed tools are in use and what share of use goes through allowed tools. Departments smaller than the minimum (5 people by default) and people without a department are grouped together under Other. Click a department to filter the whole screen on it; the period is then at least 7 days.
The same figures reappear, by month or quarter, in Accountability.
