Accountability: what the figures show
How Accountability shows three topics in figures per month or quarter, explains for each legal provision why they matter and produces a fixed report.
Accountability is the page in the dashboard that shows what you can demonstrate with BeeSensible's measurements, and which legal obligations those measurements are relevant to. You might use it, for example, when a data protection officer, an auditor or the management team wants to know what has been done about AI use. The page shows figures and explains in a separate panel why they matter legally. It does not judge whether you comply with a law. A report records the figures and the explanation for a given period.
Switching it on
Accountability is off by default. You turn it on with the Accountability dashboard switch under Organisation > Settings. It requires the Realtime Privacy and AI Governance modules, because the figures come from those modules. Accountability then appears in the menu.
Accountability in the dashboardThree topics, measurement coverage, the provisions and the reports. At the top you choose the period you want to see figures for, either a month or a quarter. The default is the last full quarter. If you choose a period that is still running, the figures go up to and including today.
Three topics
| Topic | Figures | What they do not say |
|---|---|---|
| Visibility of AI use | AI tools observed and Tools with a decision ("x of y observed tools") | Under review does not count as a decision. |
| Protection of sensitive data | Critical detections and Adjusted ("x of y masked, replaced or removed") | Only the apps where BeeSensible helps; what happens elsewhere is not included. |
| Supporting staff | AI notices shown and Alternative opened ("after x of y notices") | Whether staff are sufficiently trained. |
In place of a figure you see a value, or No measurement data or Not measurable, with the reason. Not measurable appears, for example, when statistics, a module or the notices are switched off. A missing figure is never shown as 0, so you can tell a genuine zero apart from a lack of data; a genuine zero reads "Nothing observed in this period."
Accountability follows the same privacy threshold as the other figures in the dashboard. As long as your organisation has fewer than five active users, the page shows no figures and you cannot create a report. It then reads "Figures appear from 5 active users." An active user is a member who has signed in to the extension or the desktop app.
Explanation per provision
For each topic, Explanation opens a panel with the legal provisions the figures are relevant to. For each provision the panel answers three questions: What does the law say?, What does BeeSensible contribute? and What falls outside? Below that, kept apart from our explanation, is the Literal text of the provision with the Official source (EUR-Lex or wetten.overheid.nl), so you can read the legal text yourself.
| Topic | Provisions |
|---|---|
| Visibility of AI use | NIS2 Article 21(2)(a) (policies on risk analysis and information system security) and (d) (supply chain security) |
| Protection of sensitive data | GDPR Article 5(1)(c) (data minimisation) and Article 32(1) (security of processing) |
| Supporting staff | NIS2 Article 21(2)(g) (cyber hygiene and training) and AI Act Article 4(1) (AI literacy) |
| Supporting information | GDPR Article 5(2) (accountability) and Article 24(1) (responsibility of the controller) |
For the provisions from the European NIS2 Directive, the page also shows the Dutch implementation, Article 21(3) of the Cyberbeveiligingswet (the Dutch Cybersecurity Act). These duties only apply to organisations designated as essential or important entities. You can use the overview of AI tools and decisions as input for your record of processing activities (GDPR Article 30) and for a data protection impact assessment (DPIA, Article 35). It does not replace those documents.
Measurement coverage
Below the topics you see how much BeeSensible can measure in your organisation. Seats with BeeSensible activated counts the seats that have checked in at least once through the extension or the desktop app. AI visits to an app where BeeSensible helps is an estimate of the share of AI visits that took place in an app where BeeSensible helps. How is this calculated? explains how both figures are arrived at. Coverage helps you read the figures, but it is not a condition for seeing them: the page shows the figures even when coverage is low.
Reports
Create report records the data for a period. The report does not change afterwards, even if you later change decisions or settings. It contains the topics and figures, the coverage, the Scope, the explanation and literal text for each provision, the Source of the decisions (as they stood at the end of the period) and the Settings when compiled.
Each report has a Checksum (SHA-256), shown both under Accountability > Reports and in the PDF. A checksum is a code calculated from the content of the report, which lets you demonstrate that the report has not been changed since it was created. If there is an earlier report of the same type, the new report includes a Comparison with the previous report. That comparison sets the figures side by side without judging them. Download PDF saves the report as a file.
The figures under Supporting staff come from the notices for AI tools; Notices for AI tools explains how they work. The highlights per app are covered in more detail under Sensitive data.
